A dealership runs on phone calls. Owners whose service is due, people who enquired about a new model last week, customers waiting to hear when their car is ready, buyers who want a test drive on Sunday morning. Every one of those calls is a booking, a sale or a happy customer, and every one of them has to be made by someone who is also handling walk-ins, job cards and deliveries.

So the calls slip. The service reminder list gets half done. The enquiry from Tuesday gets its first call on Friday, after the buyer has already visited two other showrooms. Feedback calls happen only when somebody remembers.

This guide shows how Indian car and two-wheeler dealers can use AI calling to make those calls on time, every time: what an AI voice agent should and should not do at a dealership, the six calls worth handing over first, the WhatsApp messages that follow each call, and how to set it up without changing your number or losing control.

Quick win: Start with service reminders. They go to your own customers, the conversation is short and predictable, and every booked slot shows up in the workshop the same week. Once those run smoothly, add new-enquiry follow-ups.

Why dealership calls get missed

Nobody at a dealership ignores calls on purpose. The problem is the shape of the work:

An AI voice agent does not get tired at the end of a long list, does not skip a call because the showroom is busy, and writes down every answer. That is the whole idea: the routine calls happen on time, and your people spend their time on the customers who need a person.

What an AI voice agent does at a dealership

With BuddyX, the agent calls and answers on your dealership's own number, from your Windows PC, a dedicated BuddyX device or a BuddyX phone. Customers see the number they already know. It speaks Hindi, English and more, in a male or female voice, and it follows what you teach it: your timings, your services, your models and your answers to common questions.

Every call is saved with its recording, full transcript and a short summary, and after a booking the customer gets the details on WhatsApp. When the agent is not sure, it hands the call to your team, and your team can watch any call and take it over in one click.

Six dealership calls to hand over first

1. Service reminders

The agent calls owners whose service is due, says which vehicle it is calling about, offers two or three slots and books the one the customer picks. It repeats the slot back, saves it for your service advisor, and a WhatsApp confirmation follows. If the customer says they have sold the car or already serviced it elsewhere, that answer is saved too, so the next list is cleaner.

2. New enquiry follow-up

Someone fills a form, calls the showroom or messages on WhatsApp about a model. The agent calls them back, asks which model and variant interests them, notes the budget and timeline in their words, and offers a test drive. Hot leads go to your sales team with the notes already written.

3. Test drive and delivery confirmations

A day before a test drive, the agent calls to confirm the time and the address. When a delivery date is set, or the car is ready after service, it calls to tell the customer and confirms when they will come.

4. Feedback after service

A few days after the service, the agent asks how it went. Happy customers are thanked. Unhappy ones are marked for your service manager with the reason in the customer's own words, so the right person calls back the same day.

5. Insurance and renewal reminders

Before an insurance renewal or warranty date, the agent reminds the owner and offers a callback from your team. It gives no prices of its own: prices come only from the list you give it, and anything else goes to a person.

6. Showroom and parts enquiries

When the phones are busy or after hours, the agent answers questions about models, workshop timings and parts availability from the information you provide, and takes a message for anything it cannot answer.

What a good service reminder call sounds like

Here is a made-up example. Shree Motors is not a real dealership, and the customer's details are invented.

BuddyX: Namaste ji, main Shree Motors service centre se BuddyX bol rahi hoon. Aapki Swift ki agli service due hai. Kya main Saturday subah 10 baje ya Monday 11 baje ka slot book kar doon?

Customer: Saturday theek hai.

BuddyX: Ji, Saturday subah 10 baje, Shree Motors service centre, Ring Road. Main confirmation WhatsApp par bhej rahi hoon. Kuch aur madad chahiye?

Short, polite, specific, and it ends with the next step. Three things make it work:

The WhatsApp messages that follow

A call books the slot. WhatsApp keeps it booked. These are the messages BuddyX sends after the call; write them in your own words and keep them short.

Right after the booking

Your car's service is booked: Saturday, 10:00 am.

Shree Motors Service Centre, Ring Road. [Google Maps link]

Reply here if you need to change the time.

The evening before

Reminder: your car's service is tomorrow at 10:00 am at Shree Motors Service Centre.

Please bring your service book. See you tomorrow!

When the car is ready

Your car is ready for pickup at Shree Motors Service Centre.

We are open until 7 pm today. Reply here if you would like us to call you.

And when a customer writes "please call me about the new model", that message becomes a call: BuddyX calls them back.

Manual calling vs AI calling at a dealership

The last row is the point. An AI voice agent is another pair of hands for your team, not a replacement for it.

Setting it up: a practical checklist

1. Connect your dealership's phone

Pair the Android phone you already use for customer calls with a Windows 11 PC or a dedicated BuddyX device, or put its SIM in a BuddyX device or a BuddyX phone. No new SIM, no new number.

2. Teach the agent your dealership

Add your workshop timings, services, models, address, the questions customers ask most, and when to hand over. You can upload documents such as your service menu or model list.

3. Set the rules

Choose the calling hours, the days and a daily limit. One click stops everything.

4. Start with one list

Begin with this week's service reminders. Listen to the first calls, adjust the answers, then add enquiry follow-ups.

Mistakes to avoid

  1. Calling people who never gave you their number. Call your own customers and people who enquired. Calls to anyone else are promotional calls, and India's telecom rules for those are strict.
  2. Letting the agent quote prices it was not given. Give it your price list or tell it to hand price questions to your team.
  3. Hiding that it is an AI. Customers accept an AI assistant that says what it is. They do not like finding out later.
  4. No handover. Every agent should know when to pass the call to a person, and your team should know where those calls land.
  5. Long scripts. A reminder call should take under a minute. The longer the opening, the more people talk over it.
  6. Never listening to the calls. Read the summaries and listen to a few calls each week. That is how the agent gets better.

A note on India's calling rules

Service reminders, booking confirmations and callbacks to people who asked to be called are calls about a customer's own vehicle or enquiry. Calls that advertise to people who never dealt with you are promotional, and TRAI's rules on unsolicited commercial communication apply to them: registration, the customer's DND preferences and approved number series. Keep your outbound lists to your own customers and enquiries, honour every "please don't call", and check anything else with your telecom provider or a lawyer. BuddyX gives you the controls: calling hours, days, daily limits and a stop button. From late 2026, TRAI also requires businesses that place automated or AI calls to declare them, and the numbers they use, to their mobile operator before calling; see our guide to AI calling rules in India.

The bottom line

The calls that keep a dealership busy are the calls that are easiest to miss: reminders, follow-ups, confirmations and feedback. AI calling for car dealerships is not about replacing the people who sell and service vehicles. It is about making sure every one of those calls happens on time, on your own number, with every answer written down, so your team can spend its day with the customers in front of them.

Frequently asked questions

Can an AI voice agent call our customers from our dealership's own number?

Yes. BuddyX calls and answers on your dealership's own number, from your Windows PC, a dedicated BuddyX device or a BuddyX phone, so customers see the number they already know. There is no new number or SIM.

Which languages can the agent speak with customers?

Hindi, English and more, in a male or female voice. The agent can start in Hindi and move to English when the customer does.

Will it book service slots directly in our system?

It takes the booking on the call, repeats it back, and saves it with the call's recording, transcript and summary for your service advisor. The customer gets a WhatsApp confirmation and a reminder before the visit.

What happens when a customer is angry or asks something unusual?

The agent hands the call to your team whenever it is not sure, and an unhappy customer is marked for your service manager with the reason in the customer's words. Your team can also watch any call and take it over in one click.

Is AI calling allowed for dealerships in India?

Calls to your own customers about their vehicle, and callbacks to people who enquired or asked for a call, are part of serving them. Promotional calls to people who have not dealt with you fall under TRAI's rules on commercial communication, so keep to your own customers and enquiries and check anything else with your telecom provider.
